Screen sharing for school offices helping parents with apps and portals

By the GuidedView teamUpdated

Short answer

GuidedView lets school front office staff, registrars and district IT see a parent's or guardian's phone or computer screen during a phone call. Staff text or email a one-time link, the parent approves sharing, and staff walk them through online enrollment, the parent portal, lunch account payments or the district's messaging app. It is built for adults who approve each session, not for monitoring students. It is view-only, records nothing and costs $29.99 a month per account.

Why do parent portal calls take so long?

Every school year starts with a wave of calls from parents and guardians who are stuck in an online system: re-registration, new student enrollment, the parent portal for grades and attendance, a lunch account that needs money, or the district's messaging app that is not sending notifications. Office staff usually know these systems from the staff side on a desktop computer, while the parent is in a phone app or a mobile browser where the menus look different. Some parents use the app in another language, and some are simply uncomfortable with technology. GuidedView lets school staff see the parent's actual screen during the call. The parent approves sharing on their own phone or computer, pauses before passwords or payment details, and does every tap while staff explain what to do next. The conversation stays on the school's regular phone line.

Which family tech tasks can staff guide over the phone?

TaskWho usually helpsWhat to watch for
Online enrollment and annual re-registrationRegistrar or front officeRequired fields, the right school year, uploads of proof of residency and records
Parent portal account setupFront office or district ITLinking the account to the right student with the code the school provided
Lunch account depositsFood services or front officeThe right student account and the amount before they pay
District messaging appFront office or communicationsNotification permissions, language settings and the right school selected

Because the parent shares their own screen, staff can see any app or website on it, including vendor-run portals the district does not host itself.

How does a parent session work?

  1. Offer it on the call

Explain that you will text a link so you can see their screen, and that they can pause or stop at any time.

  2. Send the invitation

Use the parent's cell phone number for a text or their email address for a computer. The link works once and expires after 30 minutes if unused.

  3. The parent approves

They open the link on the device they need help with, confirm they are on a call with you and choose Share. Phones use the free GuidedView app; computers use a supported desktop browser.

  4. Guide in plain language

Name the place on the screen and the word to tap. If their app is set to another language you will see it in that language, so a bilingual staff member may be the right person to guide.

  5. Pause for private details

Ask them to pause before passwords, card numbers for lunch deposits, or personal documents they would rather not show.

  6. End and log it

End the session when the task is complete, and log the call in your usual system.

Is GuidedView a student monitoring tool?

Built for adults who choose to share

No. GuidedView is designed for adults who approve each session on their own device. It is not a classroom management, student device monitoring or proctoring tool, and staff should not use it to view students' screens.

Each session starts only after the person on the call opens a one-time link, confirms who sent it and approves sharing, and they can pause or stop at any time. Staff should invite parents and guardians, not students.

When a parent opens the portal, student information will be on screen. Look only at what you need for the task, and let the parent pause for anything else. GuidedView does not replace your district's privacy policies or its obligations under student privacy laws such as FERPA, the federal law that gives parents rights to their children's education records. Check with your district's privacy or legal staff before adopting any screen sharing tool.

What should district IT know before approving it?

  • Nothing to deploy: staff watch in any modern browser. There is no software for district computers, no SDK and no integration with your student information system.
  • No recordings: sessions are live only, and GuidedView does not record or store screen video.
  • One-time links: each invitation works once and expires, and only the staff member who sent it can view the session.
  • Encrypted connections: every session travels over an encrypted connection.
  • Data details: the privacy policy and security page explain what GuidedView keeps, such as invitation and session status records.
  • Pricing: $29.99 a month per account, billed monthly. There is one plan, with no annual or education pricing.

How should a school get started?

Start with the office that takes the most portal calls, which is often the registrar during enrollment season. Give one or two staff members accounts, write a short script for offering the link, and send a test invitation to a staff phone first so everyone has seen the parent's side. Our guide to helping someone with their phone over the phone has phrasing that works well with parents who are new to this. When you are ready, create an account.

Questions

Can teachers use GuidedView with students?

GuidedView is not designed for that. It is built for adults who approve sharing on their own device during a phone call with someone they know. Schools should use it to help parents and guardians, and use their own approved tools for anything involving students' devices.

Do parents need to create an account?

No. Parents and guardians never sign up or pay. They open the invitation, confirm they are on a call with the staff member who sent it, and approve sharing. Only school staff who send invitations need GuidedView accounts.

Can staff see a parent's other apps or messages?

Only what is on the screen while sharing is on. Ask the parent to open the right app first and to pause before switching to email or texts to find a code. On a computer, the parent can share a single browser window instead of the whole screen.

Does GuidedView translate the parent's screen?

No. Staff see the parent's apps in whatever language the parent uses. For families who prefer another language, pair GuidedView with a bilingual staff member or your interpretation line, since the conversation itself happens on the phone call.

Is GuidedView free for schools?

No. GuidedView has one plan at $29.99 a month per account, billed monthly, with every feature included, and you can cancel anytime from the portal. Parents and guardians never pay anything or create an account.
